Evolving changes in the workplace, remote working practices, and financial pressures have increased the likelihood of fraud, misconduct, or any other unethical behaviour in organisations.
Globally, whistle-blowing mechanisms have repeatedly been seen as the most effective source of information to combat occupational fraud. Therefore, having an independent hotline in place will help strengthen the first line of defence in combatting fraud.
MVIA provides an independent, anonymous, and confidential whistle-blowing service that employees, directors, or other stakeholders can use to raise concerns regarding incidents of actual or suspected fraud, misconduct, unethical practices, policy violations, and non-compliance.
Purpose
This Whistleblowing Policy is designed to encourage and enable employees, customers, business partners, and other stakeholders to report unethical behavior, misconduct, or any concerns about non-compliance with laws, regulations, and company policies in a safe and confidential manner.
Commitment to Confidentiality and Protection
The Group is committed to ensuring that all whistleblowers are protected from any form of retaliation, victimisation, or unfair treatment.
Reports can be made anonymously, and all disclosures will be handled with strict confidentiality.
The external whistleblowing service provider ensures that the identity of the whistleblower is protected.
Types of Concerns to Report
The whistleblowing system is available for reporting any of the following concerns:
• Fraud, corruption, bribery, or financial misconduct.
• Non-compliance with laws, regulations, and company policies.
• Unethical behavior, conflicts of interest, or abuse of power.
• Health and safety violations or environmental misconduct.
Internal Reporting and HR-Related Concerns
• Internal non-compliance reports will be handled by the Governance, Risk, and Compliance (GRC) Department.
• HR-related concerns should be reported and managed according to the HR Grievance Policy.
How Reports Are Handled
Once a report is submitted through any of the channels listed above, the external whistleblowing service provider will ensure confidentiality and protection of the whistleblower’s identity.
Reports will be reviewed and, where necessary, investigated in a fair and unbiased manner.
The evidence provided is an advantage and will assist in ensuring a thorough investigation.
Anonymity and Non-Retaliation Policy
Whistleblowers may choose to remain anonymous.
The company has a strict non-retaliation policy to protect individuals who make disclosures in good faith.
Retaliation or victimisation against whistleblowers is prohibited and may result in disciplinary action against those responsible.
